Bought Gmail Inboxes or Workspace Seats? A 12-Month Cost Sheet
A twelve-month cost comparison for a business that needs several Google inboxes: Google Workspace seats at Google's published rates, staff-created free Gmail, and bought Gmail at list, sized at 5, 20 and 50 inboxes, with a plain statement of which jobs each one actually covers.

Two different requests reach the same desk. One asks for mailboxes the team will read every day. The other asks for a handful of Google logins nobody will ever call their own: a test sign-in, a seed inbox, a recovery address for the registrar. Before you buy Gmail accounts for business, split those two jobs apart, because only the second one is a fair price comparison. Staff mail belongs in Google Workspace. This page prices both routes across twelve months at 5, 20 and 50 inboxes, using Google’s published rates read on October 16, 2026.
If the inboxes you need are company-held test, seed or recovery logins rather than people’s mailboxes, send the job, the variant and the quantity to Telegram @nexkyc or WhatsApp +1 (737) 307-6751, and we will quote the full-order rate.
The short answer: staff mailboxes belong in Google Workspace
A mailbox that carries a person’s name, receives customer mail and has to outlive that person’s employment is a Workspace seat. Nothing bought at a dollar replaces it. The rest of this page is about the jobs that are not that.
What a business gets only with Workspace: its own domain, admin recovery and control of the data
Three things come with a paid seat and cannot be bolted onto a consumer inbox.
- Mail on your own domain. Google’s business page lists custom business email, you@your-company.com, as a Starter feature.
- An administrator who can get back in. Google’s admin documentation says an administrator with reset-password privileges resets a password from the Admin console, then resets the user’s sign-in cookies so an old password cannot be used.
- Data the organization keeps. Google’s page on deleting a user explains that an administrator transfers Drive files, and that data owned solely by the user and not transferred before deletion is permanently deleted.
Start with the Workspace safeguards to switch on before buying anything. A second super admin and a filed set of backup codes cost nothing and close most of the gap people try to fill by buying inboxes.
Where bought Gmail fits: company-held jobs that aren’t a person’s mailbox
What is left is a short list: a test user that signs in to your own app, a seed mailbox that receives your own consented campaign, an off-domain recovery address, an outside requester that writes to your own helpdesk. Each is held by the company, labeled as what it is, and never used as somebody’s correspondence address.
Gmail for business vs personal: what actually changes
Your own domain, and why free Gmail can’t send as it after the send-as change
A free Gmail can read mail for an outside address and, today, write out as it. That is ending. Google’s send-as help page carries a dated notice: from January 2027 the feature stops covering third-party addresses, with @yahoo.com and @outlook.com named as the examples. Aliases on a Workspace domain, and further Gmail addresses you already hold, sit outside the change. A free inbox wearing your company name has an expiry date on it.
The Admin console, account recovery and offboarding
Recovery decides this question. On a personal Gmail, the recovery phone and second address are the account. Whoever holds them holds the inbox, which is why a staff mailbox cannot sit there, and why a bought inbox has to move into company hands the day it arrives. On Workspace, recovery is an administrative action in a console your company controls.
Sending limits on personal Gmail and on Workspace, from Google’s own pages
Google publishes both ceilings. A paid Workspace user can send up to 2,000 messages a day, with trial users held to 500. On a personal Gmail, the help page says the limit error appears past 500 recipients in a single email or past 500 emails sent in a day, and that sending usually works again within 1 to 24 hours.
Read those as caps the provider enforces, not capacity you have bought. Bought inboxes are not for outreach of any kind.
Google’s inactive-account policy covers personal accounts, not Workspace
Google’s inactive-account policy says a personal Google Account may be deleted after at least two years of inactivity across Google, and that it does not apply to accounts set up through work, school or another organization. Reading email while signed in counts as activity. Any consumer inbox you keep as a recovery address needs a calendar entry and a logged date.
Gmail for business cost: reading the Workspace pricing page
Plan prices, introductory discounts, and flexible versus annual billing
Google publishes each Business plan at two rates, and the Workspace Admin Help pages name them. Read on October 16, 2026, in US dollars and before tax: on the Annual/Fixed-Term Plan, Business Starter is $7 per user per month, Business Standard $14 and Business Plus $22; on the Flexible Plan, which runs month to month, the same three are $8.40, $16.80 and $26.40. The pricing page calls the annual rate a saving for a one-year commitment. Those plans bill annually or monthly depending on your region and how you signed up. Enterprise goes through sales.
No introductory or new-customer discount was showing on the Google pages we read that day, so the sheet below applies none: it uses the regular Annual/Fixed-Term rate as its main line, with the Flexible rate beside it. Offers change, so read the pricing page on the day you buy. A first-year discount would move the Workspace column down and nothing else.
Trial length and user caps
The same page offers a 14-day free trial and notes that Business Starter, Standard and Plus can be bought for a maximum of 300 users. If you are weighing this up at all, start the trial: it settles the domain question in an afternoon.
Google Workspace vs free Gmail vs bought Gmail: 12 months at 5, 20 and 50 inboxes
How the sheet is calculated
Workspace is seats multiplied by the monthly price multiplied by twelve. Bought Gmail is a one-off list price multiplied by the quantity, with no renewal. Staff-created free Gmail costs nothing in cash. The Workspace lines use Google’s regular published rates, annual and flexible, not an introductory or promotional price. Prices checked October 16, 2026.
| Inboxes | Route | Counted as | 12 months |
|---|---|---|---|
| 5 | Workspace Starter, Annual/Fixed-Term | 60 × $7 | $420 |
| 5 | Workspace Starter, Flexible Plan | 60 × $8.40 | $504 |
| 5 | Bought Gmail, New (Fresh PVA), one-off | 5 × $1 | $5 |
| 5 | Staff-created free Gmail | no invoice | $0 |
| 20 | Workspace Starter, Annual/Fixed-Term | 240 × $7 | $1,680 |
| 20 | Workspace Starter, Flexible Plan | 240 × $8.40 | $2,016 |
| 20 | Bought Gmail, Mix Old (2023-2014), one-off | 20 × $2.50 | $50 |
| 20 | Staff-created free Gmail | no invoice | $0 |
| 50 | Workspace Starter, Annual/Fixed-Term | 600 × $7 | $4,200 |
| 50 | Workspace Starter, Flexible Plan | 600 × $8.40 | $5,040 |
| 50 | Bought Gmail, USA Old (2023-2014), one-off | 50 × $3.50 | $175 |
| 50 | Staff-created free Gmail | no invoice | $0 |
The MixAcc numbers are list prices. Bigger orders are quoted one at a time, so ask us what the full-order rate comes to rather than reading it off a published schedule.
Costs that never show on an invoice: recovery, handover, and a replacement window that ends
The three columns are not the same product, and the difference lives outside the cash.
- Workspace carries recovery and offboarding inside the subscription. The cost is the renewal, every year.
- Bought Gmail has no administrator behind it. Our replacement runs 7 days from delivery and covers an inbox that will not sign in on first use. After that week, an inbox you lose is one you re-buy.
- Staff-created free Gmail bills nothing and owns nothing. Recovery sits on a personal phone, and the handover at resignation is a favor, not a process.
Why the cheapest column is the wrong one for staff mail
At fifty inboxes the gap reads as $4,200 against $175, which looks decisive until you ask what happens in month seven when the person holding inbox 31 stops replying. The $175 column prices logins, not what a lost sales mailbox costs you: no administrator stands behind it and no transfer route exists. Price the columns against the job.
Bulk Gmail accounts for a company: the jobs where bought inboxes fit
These are the jobs where an inbox is equipment rather than correspondence, and every one is work you do on your own systems.
| Company-held job | Variant | List price | Qty | Line |
|---|---|---|---|---|
| Sign-in and OAuth test users | New (Fresh PVA) | $1 | 5 | $5 |
| Seed inboxes for your own campaigns | Mix Old (2023-2014) | $2.50 | 10 | $25 |
| Off-domain recovery for the long tail | USA Old (2023-2014) | $3.50 | 5 | $17.50 |
| Outside requesters for the support desk | New (Fresh PVA) | $1 | 5 | $5 |
| UK-registered onboarding runs | UK IP (2023) Old | $3 | 5 | $15 |
| Total | 30 | $67.50 |
Sign in with Google and OAuth tests
A sign-in suite needs a new user, a returning user, a linking user and one whose consent has lapsed, and none can be a colleague’s real account. The persona matrix and the per-layer sizing are in our guide to Gmail accounts for Sign in with Google tests. Short-lived runs take New (Fresh PVA); personas that sign in for months take an aged grade.
Seed inboxes for placement checks on your own consented mail
A seed inbox exists to receive and be read. You add it to a campaign your own subscribers opted into, then record which tab or folder the message reached. Seeds never send, and never go near a list you did not collect yourself. Mix Old (2023-2014) suits a panel you keep for a year.
Off-domain recovery inboxes for the long tail: ad accounts, social and SaaS logins
Point a login’s recovery at a mailbox hosted on the very domain that login controls, and you have built a loop that closes the first time you are shut out. The tiering rules are in the Workspace safeguards to switch on before buying anything. Registrar, DNS host, super admin and the business bank login get an inbox the company creates in its own name, behind hardware keys; a bought one is at most a second route there, never the first. The tail is where bought inboxes earn their place: ad accounts, social tools, SaaS admin seats.
External requester inboxes for support desk tests
Testing a helpdesk means writing to it from outside, which an agent’s own mailbox cannot do honestly. One labeled requester per provider your customers use covers ticket creation, threading and the auto-reply. The build is priced in our stack of requester inboxes for helpdesk tests.
Before you buy Gmail accounts for business, know what a bought inbox cannot do
No admin recovery, and Google can disable any account
Buying an account breaks the terms you accepted with Google, and Google can disable any account. The Terms of Service themselves name no clause on buying or selling; what they do say is that Google reserves the right to suspend or end your access, or remove the account itself, where a user breaches those terms materially or repeatedly, and that you answer for what your account does. The longer reading, with the Gmail program policies alongside it, is in our page on what Google’s terms say about bought Gmail accounts. No seller can promise an inbox survives.
No staff mail, no cold email, no bulk sending
Three uses are out. Employee mailboxes, because the company cannot recover them. Cold outreach, because mail to people who did not ask for it is spam whatever it is sent from. Bulk sending generally, because the published ceilings above are enforcement limits, not an allowance you have purchased.
No send-as from outside addresses once the change lands
If you were planning to hang your company address off a consumer inbox, the January 2027 end of third-party send-as closes that route. Workspace aliases and other Gmail addresses you own are unaffected, which is another way of saying the supported route runs through a paid seat.
Choosing a Gmail variant for company-held jobs
Pick the grade by how long the inbox has to live, then order from the Gmail variants from $1 on the product page.
- New (Fresh PVA), $1. Recently registered and verified by text at signup. Right for one-shot signup runs, throwaway test users and requester inboxes you will retire with the project.
- Mix Old (2023-2014), $2.50. An aged inbox with no particular country attached. Right for seed panels and long-lived test personas where a flow refuses a brand-new address.
- USA Old (2023-2014), $3.50. Aged stock carrying a US registration, for a test or recovery address where the country of registration is part of what you are checking.
- UK IP (2023) Old, $3. Registered on a UK connection, for onboarding runs you need to walk as a British user.
- The 5-account minimum. Gmail orders start at 5 accounts in total. Mixing variants inside that 5 is fine; tell us the split.
Ordering Gmail inboxes from MixAcc
What to send: the job, the variant and the quantity
Message Telegram @nexkyc or WhatsApp +1 (737) 307-6751 with three lines: what the inboxes are for, which of the Gmail variants you want, and how many. We will say if Google Workspace covers the job better. Payment is crypto or card against an invoice. Everything quoted here is a list price, so have us rate the whole order before you pay.
Delivery day: sign in as delivered, then move recovery to company-held details
Orders ship as one delivery file carrying each inbox’s address, its password and the recovery details attached to it. Sign in to all of them exactly as supplied on arrival day, then change each password, set your own two-step method, repoint recovery at a company-held address and number, and end the other sessions. Record every inbox against its job and its named owner.
An inbox that will not take that first sign-in is swapped on your say-so, as long as you tell us inside 7 days of delivery. No ticket, no evidence, no process. For mailboxes your staff will actually read, start a Google Workspace trial instead; that is the honest answer, and it is the one we would rather give you before the money moves.
